A Brand Authorization Letter confirms that your brand has authorized Portless to ship your branded products. Our team prepares the letter for you, so all you need to do is review it and sign. This article explains why the letter is needed, what to check, and how to sign and return it.


Why carriers need this letter

Carriers and customs authorities need to know that branded goods are genuine and that the brand owner has approved how they're being shipped. Your letter gives them that proof.

Some carriers won't accept a shipment at all without a valid letter on file. Without one, orders can be held, returned, or refused. A valid letter doesn't guarantee a shipment will clear customs without inspection, but it improves the odds.

What we prepare for you

When a letter is needed, the Portless Support team will email you a prepared copy. We fill in your brand details, your logo, and the product categories you ship with us, using your website and public trademark records.

The letter names Daily Grabs Inc. (Portless's legal entity) and DG Enterprises Limited as the authorized parties. These are the companies that handle your shipments, so this section is already completed and doesn't need any changes.

Brand owner legal name

The legal entity that owns the brand. If your brand has a parent company, this is the parent company's name. If not, it matches your brand name.

Brand owner address

The registered address of that legal entity

Contact information

The name and email of your team's point of contact

Product types

The categories you ship with us, such as "massagers" or "swimwear." These should describe your actual products, not a general term like "accessories."

Validity period

The start and end dates the letter covers

Logo

Your current logo. If you have a preferred or higher-quality version, send it along and we'll update the letter.

If anything needs to change, reply to our email with the correction and we'll send an updated letter for you to sign.

Signing and returning the letter

  1. Have your authorized signatory sign Section 7 of the letter, adding their name, title, signature, and date.

  2. Reply to our email with the signed letter attached.

Once we receive it, we'll file it with our fulfillment team and carriers. Any shipments that were on hold for a missing letter can then move forward.

Tip: Choose a longer validity period, such as two or three years. There's no maximum, and a longer window means you won't need to re-sign as often.


FAQ

Who can sign the letter?

Someone authorized to sign on behalf of the brand owner's legal entity, such as a founder, owner, director, or officer. If you're unsure who that is, your legal or finance team can confirm.

My brand is owned by a parent company. Whose details go on the letter?

The parent company's legal name and registered address go in the brand owner fields, and your brand name stays in the brand name field. The signatory should be someone authorized to sign for the parent company.

Can I make changes to the letter myself?

Please reply with your corrections instead, and we'll send an updated version. This keeps the letter in the format our carriers accept.

I have more than one brand. Do I need a letter for each?

Yes, each brand needs its own letter.

What happens when the letter expires?

Carriers stop accepting it once the end date passes, and we'll reach out to prepare a new one. A longer validity period means this happens less often.

What if I start shipping new product types?

Let us know, and we'll check whether your letter needs to be updated.
